Job Summary:

Under the direct supervision of Title Branch Manager, the Settlement Post-Closer processes documentation needed after real estate settlements have been completed.  Regular, predictable and dependable attendance is essential to satisfactory performance of this job.

Essential Responsibilities:

  • Orders all documentation needed to process a real estate closing, including, but not limited to: loan payoffs, surveys, title abstracts, title commitments, preparation of deeds, and judgments.  Contacts seller for additional documentation to include: deed, termite, and water/sewer reports as required.  Contacts buyer for additional documentation to include hazard insurance, survey, and homeowner associate information as required.
  • Processes settlement package for closing. Prepares title insurance policies and commitments and forwards to lender along with closing service letter, settlement notice, wiring instructions, and tax information.  Prepares additional documentation for settlements to include: initial HUD-1, deed, seller’s affidavit, seller’s exempt form or Form 1099, payoff letters, purchaser affidavit, and deed registration.  Reviews package and title binder for any unresolved issues.  Forwards to purchasers and lenders.
  • Assists with reconciling trust accounts. Notifies appropriate parties when escrow funds are ready for release, ensures signatures are on release forms, and requests and disburses checks.
  • Disburses any undisbursed funds from settlements, to including matching checks with invoices, and preparing payoff letters with account information. Sends checks to appropriate party, or contacts that party to arrange for check pick-up.
  • Tracks post-closing activities in appropriate systems and databases. Provides informed and accurate responses to questions from clients and sales associates regarding post closing issues.
  • Checks incoming and outgoing wires of funding for closing. Prepares deposits of lender checks.  Notifies Settlement Closer of these activities via e-mail.
  • Prepares Certificates of Satisfaction, and obtains lender’s signature on unreleased Deeds of Trust, and request Indemnification letters from the appropriate title company. Ensures proof of payment is on file for previously unpaid loans or bills.
  • Monitors files on computer software as well as a hard copy in file folder. May use checklists, such as the Conveyance Worksheet, to ensure all tasks have been completed.
  • Copies loan package and returns to lender after closing.
  • Records releases for Deeds, Mortgages and judgments. Ensures all required documents are sent to the purchaser.
  • Ensures commission check amounts are accurate, and sends to the appropriate sales associate.

 Additional Responsibilities:

  • Greets customers
  • Obtains picture ID from customers that will be signing documents that need to be notarized
  • Maintains clean appearance of self-serve refreshment area, lobby and conference room
  • Confirms status/order supplies needed for office
  • Performs other related duties as assigned

 

 

Job Requirements

Qualifications:

  • High School diploma or equivalent combination of education and experience, college preferred;
  • Two to three years office experience required in accounting or real estate settlements;
  • Must have excellent telephone, oral and written communication skills, and interpersonal skills;
  • Must have advanced computer skills in Microsoft Office products to include Outlook, Word, and Excel, as well as in databases, and have accurate data entry skills;
  • Knowledge of the Long & Foster systems desirable;
  • Must be organized, detailed oriented and be able to set priorities, multi-task, work independently, and take responsibility for results.
